Part 1: Bringing It All Together: The Route Schedule
You've successfully told Upbuoy who will do the work (your technician) and where the work will be done (your customer's service location). Now, it's time for the final piece of the puzzle: when.
What is a Route Schedule?
In Upbuoy, a recurring service is called a Route Schedule. Think of it as a template that tells the system: "Service this location, with this technician, on this day, at this frequency."
Once a Route Schedule is created, Upbuoy's automation kicks in. The system will automatically generate individual Service Stops on your calendar for every upcoming service day. This means you set the schedule once, and Upbuoy handles the rest.
Part 2: A Guided Walkthrough of the Onboarding Step
You are now on the "Schedule Their First Stop" screen. This page is designed to be simple and visual.
Step 1: Choose the Day of the Week
This is the primary day your technician will visit the customer.
Click the "Day of Week" dropdown and select the day (e.g., Monday).
Step 2: Set the Service Frequency
This determines how often the service recurs.
Click the "Frequency" dropdown. While you have several options, "Weekly" is the most common for regular pool service and a great place to start.
Available Frequency Options:
Twice Daily / Daily: For commercial pools or special circumstances.
Twice Weekly: For customers who need service on two different days each week.
Weekly / Biweekly / Monthly: Standard recurring frequencies.
Step 3: (Conditional) Set Secondary Day or Time
Based on the frequency you select, additional options may appear:
If you select "Twice Weekly":
A "Second Day of Week" dropdown will appear. This allows you to set the second service day (e.g., Primary Day: Monday, Second Day: Thursday).
Upbuoy will automatically suggest a second day that is 3-4 days after your primary day, a common industry practice.
If you select "Twice Daily":
A "Second Service Time" dropdown will appear, allowing you to set a morning and afternoon visit on the same day.
Step 4: Watch the Calendar Update
As you make selections, notice the calendar on the right side of the screen. It visually represents the schedule you're creating.
This live preview helps you confirm that you're setting up the schedule exactly as you intend. The visual feedback confirms your selection has been registered.
Step 5: Click "Continue"
Once you're satisfied with the schedule, click the "Continue" button. This saves your new recurring route schedule, permanently linking your customer, their location, and the technician to this weekly service.
Part 3: Key Concepts & Pro Tips
This is a Template, Not a Single Appointment
Remember, you are creating a recurring schedule. You don't need to manually create an appointment for this customer every week.
Upbuoy's automated system will now handle that for you.
Editing Schedules Later
This schedule isn't set in stone. You can easily edit the day, frequency, or assigned technician later from the customer's profile page or the main Route Assignments page.
One-Off Jobs are Different
This process is for recurring route stops. One-time jobs like a filter clean or equipment repair are created asWork Orders, which you can do from the main Work Orders page. We'll cover that in a later module.
Key Takeaways
Route Schedules are templates that automatically generate recurring service stops on your calendar.
Weekly frequency is the most common choice for regular residential pool service.
You can easily modify schedules later - nothing is permanently set in stone.
